CITY COUNCIL CHAMBER 1225 MAIN STREET, SEBASTIAN, FLORIDA Staff Present Brian Benton, Leisure Services Director Cathy Testa, Records Specialist Jeanette Williams, City Clerk Absent Paul Carlisle, City Manager Participants Present Marc Gingras Michelle Morris Sally Maio JoAnne White (Zoom) Absent Patti Williams 1. The Centennial Celebration meeting was called to order at 10:00am MOTION made by Jeanette Williams and SECOND by Cathy Testa to make Brian Benton the Chairman of the Task Force. Motion was approved with a unanimous voice vote. 2. STAFF REPORTS A. Website Slides Slides for the Facebook Centennial Page were presented. The first slide requests vintage photographs of Sebastian from residents. The second slide requests input, volunteers and sponsors. The FaceBook domain Sebastian 100. 2ov was chosen by the Task Force. Any information for the FaceBook Page will be uploaded by staff. The email address, Sebastian100ncitvofsebastian.ora was decided on by the Task Force for residents to send photographs and input. Centennial Celebration Committee Meeting June 6, 2022 Page 2 B. Clvdesdale Report Jeanette contacted Clydesdale Express from Oklahoma. They provide six horses and a stagecoach that holds 22 people. The cost would be approximately $13,000. Jeanette asked to be put on their schedule for our July 4th Parade in 2024. Cathy contacted the Carroll Distributing Company in Melbourne Florida regarding the Budweiser Clydesdales attending a parade. The cost would be between from $15 to $20,000. We would have to contact them the 1st quarter of 2023. MOTION made by Jeanette Williams and SECOND by Cathy Testa to get a proposal from the Clydesdale Express. Motion was approved by a unanimous voice vote. C. Marketing & Promotion Brian presented examples of pole banners. They are 18" x 24", double sided with a 2" pocket, hardware included for a cost of $110 each for an order of 50 or more. Mark asked if we knew how many banners would be needed. There was discussion about having pole banners on Indian River Drive, CR 512 and Main Street up to the Post Office. Brian will check with the sign company that made our entry point signs to see if they make a bracket so we can add a banner to them. He will also find out the number of poles and give a report at the next meeting. D. Parades & Special Events Jeanette contacted the Vero Beach Pipe and Drum band. They are willing to play at more than one parade. The cost is $400-$800. She also reached out to the Sharks band and has not had any response. E. Historical Societv Jeanette drafted a letter to formally invite the Historical Society to participate in the 100th year celebration event. MOTION by Jeanette Williams and SECOND by Cathy Testa to send the letter to the Historical Society to formally invite them to participate. Motion was approved with a unanimous voice vote. 3. PARTICIPANT UPDATES A. Art Robert Johnson & Rich O'Conner, Coordinators of the Sebastian Riverfront Fine Arts and Music Festival joined the meeting and asked how they could help. Brian explained that he would like the 1001h year celebration incorporated into all of the cities festivals. B. Historical Sally Mayo submitted an outline of the important events that have happened throughout the 100 years. She said the Historical Society will be holding their meeting in September and will be asking the members to get involved. Sally would like to reach out to Pete Harris's family and ask if they would allow the use of Pete's music. C. Merchandise & Marketing - No updates D. Parades & Special Events Mark Gingras has meetings set up with the event coordinators to discuss how they will be incorporating the 1001h year celebration into their event. Mark spoke with the Craft Beer companies and they are delighted to create a brew for the 100t' year celebration. E. Sponsorships Michelle Morris spoke with the Exchange Club and they are wondering how many tier levels there should be for sponsorships. It was discussed and decided to have 5 tier levels. The committee will come up with names for the different tiers. She also asked what would be provided for a sponsor. The committee discussed several ideas such as of putting sponsor names on a banner or on the back of a T- Shirt. The city would add sponsor names to any brochure or booklet they have made. The ideas for outside a sponsored business were H-frame signage or stickers in their window. The committee suggested the sponsorship deadline should be December 2023. 6. NEXT MEETING The next meeting is scheduled for July 18, 2022 at 10:00am 7. ADJOURN Being no further business the meeting was adjourned at 11:02am.
