CENTENNIAL CELEBRATION TASK FORCE
MINUTES
MONDAY, JANUARY 9, 2023 —10:00 A.M.

1. ORDER
The Centennial Celebration meeting was called to order at 10:00am
2. REPORTS
A. Staff Items
MOTION by Ms. Williams and a SECOND by Mr. Carlisle to approve the minutes from
December 12, 2022. MOTION approved by unanimous voice vote.
Ms. Williams drafted a Proclamation for the Mayor to read at a future Council meeting inviting
citizens to participate in the centennial celebration by sharing old photos and stories. Everyone
agreed they would like to have the Mayor read the proclamation to promote the centennial
celebration.
Mr. Benton discussed the idea of designing a Christmas ornament as a memento for residents to
purchase during the centennial celebration. Everyone liked the idea. He will discuss pricing
options with the company and have a report for the February meeting.
B. Marketing & Promotion
Mr. Carlisle will meet with the Sheriff's office tomorrow to discuss printing prices.

Mr. Benton spoke with Mr. Enns from Indian River Magazine he said once a contract is signed
he will begin to promote selling ads to their contacts that would be from outside the city, which
would be different from the people we would be selling to.
The majority of the committee is interested in having the Indian River Magazine produce our
centennial magazine. The writers are professionals and have been in the area for years, they
know the history. We want the magazine to be a keepsake so it should be professionally
designed.
Ms. Ware explained that she has worked with the Sheriff department's print shop and they will
need to know how many copies, the type of paper and the color. The cost will be figured on how
many sheets of paper needed then times it by two to cover the cost for replacement paper.
Mr. Benton said to begin we should print 500 sponsorship packets and 1500 coloring books.
C. Art
The committee chose photographs for the coloring book:
1. Fisherman's Landing
2. Kroegel Statute
3. Old Schoolhouse
4. Main Street Boat Ramp
5. Pelican Island National Wildlife Refuge Stamp
6. The Train Station
7. The Chesser family standing with their horses
8. Kayaker in the Sebastian River
D. Historical
Ms. Maio has been working on the historical facts and should be done by the end of March.
Ms. Williams shared with the group a picture of a tree with handmade Christmas ornaments.
Each ornament has a piece of history shellacked on a small piece of wood. She would like to do
this with the tree that is in City Hall's lobby during the holidays in 2024.
E. Parades & Special Events
Mr. Gingras said the there is a company in the area that makes snow and would like to
incorporate them into the events for the kids to enjoy.
F. Sponsorships
Mr. Benton reviewed the sponsorship packet and asked for input.
Mr. Gingras requested the QR code be added to the application.
A MOTION by Mr. Carlisle and a SECOND by Ms. Williams to have the Pelican level receive
10 copies of the magazine. Motion approved by unanimous voice vote.

Mr. Gingras will review the names of the events and send an updated list with the full event
names to be printed in the packet.
Mr. Benton suggested that everyone look over the packet any send any changes they have to Ms.
Testa by January 16tn
Ms. Melchiori asked when the website was going to be live. Mr. Benton said it should be by the
end of this month. He will check to make sure after today's meeting.
3. NEXT MEETING
The next meeting is scheduled for January 23, 2023 at 10:00am to finalize the sponsorship
packet.
The meeting in February is scheduled for February 13, 2023 at 10:00am.
