HomeMy WebLinkAbout24-08-ITB Citywide Pest Control Services Addendum 1Page 1 of 4 ADDENDUM NO. 1 March 12, 2024 24-08-ITB Citywide Pest Control Services The original Invitation to Bid shall remain in full force and effect, except as modified herein, which shall take precedence over any contrary provisions in the prior documents. This addendum is being issued to address questions received. SECTION I: QUESTIONS 1. Question: Is the current vendor providing services to the interior and exterior of the buildings, or only the interior? Answer: The current vendor provides exterior services only. Please see Section II of the solicitation. The solicitation has been updated to remove interior services. 2. Question: What was the total amount paid for pest control in the last 12 months? Answer: The City spent approximately $10,000.00 on pest control in the last 12 months. 3. Question: What is the square footage of each location to be serviced? Answer: Interested bidders are welcome to visit each location to measure the exterior square footage. 4. Question: Did you require any Bed Bug treatments in the last 12 months and if so, what was the total paid? Answer: No. 5. Question: Did you require any Termite treatments in the last 12 months and if so, what was the total paid? Answer: No. 6. Question: How many exterior rodent bait stations are currently at each property? Answer: Interested bidders are welcome to visit each location to visualize and count the number of bait stations around the exterior. 7. Question: Who owns the exterior rodent stations, or will they need to be replaced by the new vendor? Answer: Our current vendor owns the rodent stations. The new vendor will need to supply their own. Answer: The City does not have this information. The City did not need call back services under the current contract. 9. Question: How many hours is the technician on site per month? Answer: The City does not have this information. The City currently pays a monthly fee. The technicians are on site for as long as it takes to complete the monthly services. 10. Question: Are we able to have the ITB in a word document Answer: No. 11. Question: Please advise how many rodent Bait stations per site? Will the equipment onsite be good to re-use or will we need to include on proposal? -Please advise on times and dates for entry to Police Department sites for walkthroughs. Answer: Our current vendor owns the rodent stations. The new vendor will need to supply their own and include that cost in their monthly service fee. For site visits, interested bidders are welcome to visit each location to view the exterior. SECTION II: REVISION OF SOLICITATION  Page 5, Section 1.1 has been revised to read: 1.1 SCOPE OF WORK The City of Sebastian is requesting bids for monthly Pest Control Services. Monthly pest control services will be provided to the exterior of buildings. If services are needed to the interior of buildings, the City will negotiate the scope and pricing with the Contractor. There are approximately forty-five (45) forty- four (44) locations requiring pest control treatment. This contract will be divided into four (4) major service areas: City Hall and Police Complex – 5 buildings; Public Works Compound – 1 building; Public Restrooms/Concession Stands – 13 restrooms and 2 restrooms/concession stands; and Other City Facilities – 23 buildings.  Page 6, Section 1.4, City Hall and Police Complex, has been amended to remove “Police Volunteer Office.” City Hall and Police Complex Location Address City Hall 1225 Main Street, Sebastian, FL 32958 Police Department 1201 Main Street, Sebastian, FL 32958 Police Volunteer Office 1201 Main Street, Sebastian, FL 32958 Old City Hall Building 1235 Main Street, Sebastian, FL 32958 Art Center Building 1245 Main Street, Sebastian, FL 32958 Senior Center Building 1255 Main Street, Sebastian, FL 32958 Page 3 of 4  Page 5, section 1.1.4 has been revised to read: 1.1.4 Pest control treatment shall be performed by the Contractor at least once each month during the City's normal business hours, 7:30 a.m. - 4:30 p.m. (closed for lunch from 12:00pm-1:00pm) Monday through Friday. If required, the bidder shall provide 72 hours advance written notice if a building, office, or area needs to be vacated for pest control treatment.  Page 5, section 1.1.8 has been revised to read: 1.1.8 For services outside of the monthly treat ments, the bidder must respond onsite to service calls within 24 twenty-four 48 (forty-eight) hours from notification.  Page 8, section 1.5.2 has been revised to read: 1.5.2 Contractor shall furnish all labor, tools, equipment, transportation, and material needed to inspect and perform full treatment pest control services for all areas and buildings specified herein, but not limited to, rooms, closets, lounges, toilets, kitchens, hallways, stairwells, attics, and laboratories.  Page 9, section 1.7.3 has been removed: 1.7.3 Fogging – Modern equipment and products will be used for fogging all area s, including crawl spaces, mechanical and equipment rooms.  Page 10, section 1.7.7 has been removed: 1.7.7 Critical Areas – Areas such as locker rooms, gear rooms, trash rooms, sink rooms, mop rooms, storage areas, wire closets, toilet rooms, and kitchens are considered to require concentrated attention. Such areas shall receive intensive preventive treatments for the life of the Agreement.  Page 810, section 1.7.8 has been revised to read: 1.7.8 Restrictions – In all instances, insecticide products, regardless of toxicity category, shall be applied in strict compliance with label instructions. No insecticide shall be applied in an y area while City personnel are present. In situations where space applications are proposed, the Contractor shall present written notification to the City 72 hours in advance of the proposed application. Such notification shall include the target pest(s), the room number(s) and/or building(s) to be treated, the product to be used, the method of application, and provisions for tenant and employee safety. No such applications shall be made without the written approval of the City. No product identifiable as a fumigate shall be used in any City space for any purpose.
