HomeMy WebLinkAbout08-31-2016 MinutesSebastian Event Committee Regular Meeting Minutes Tuesday, August 31, 2016 – 2:00 p.m. Sebastian City Hall Second Floor Conference Room 1225 Main Street Sebastian, FL MEMBERS PRESENT: Cindy Watson, Mari Ogimachi, Bub Milon, Kathy Falzone, Jean Tarbell, Cathy Testa MEMBERS ABSENT: Michelle Boswell, Julie Escamilla, Steve Marcinik, Janickie Smith, Dorri Bosworth Committee Members reviewed the June 8, 2016 meeting minutes and made the following corrections: Committee Member Cathy Testa was added as a Member Present and Janickie Smith was remove as a Member Absent, since her name was added twice. Cindy Watson stated that she received the dinner menu from the Sebastian Elks Club for the upcoming Employee Banquet. Cindy read the dinner menu options as follows: Choice of: Prime Rib – 17.95 Chicken – 15.95 Roast Loin of Pork – 17.95 Fish – 15.95 Pasta – 15.95 Choice of (2) Vegetables, Bread, Butter, Coffee, Ice Tea. Elks Club will reduce the price of each dinner by $1.00 if the City provides dessert. Elks Club is requiring a $50.00 charge for the Bartender. Cindy agreed to make a variety of cupcakes for dessert. Committee Members held a brief discussion about the pros and cons of a buffet style dinner as oppose to a sit down dinner. It was the final consensus of the Committee to have a sit down dinner, since it worked out well last year. The Committee selected the following sit down dinner menu. Prime Rib, Chicken Marsala, or Fish Roasted Potato and Green Bean Casserole Salad, Bread and Butter, Coffee / Iced Tea. Vegetarian meal options were discussed and the committee suggested that a meatless Lasagna would be a good option. Cindy stated she would confirm with the Elks Club and report back. A brief discussion was held about the beer choices, wine and alcohol prices. The Committee selected a keg “Bud Light” to be served. Cindy indicated that she would follow-up with Department Heads to see if they will contribute money again this year for the keg. Cindy stated that a whole keg of draft beer would be $195.00 and that it would serve approximately 200. Jean Tarbell suggested that the pricing of all drinks, wine, etc. be posted on the bar at the time of the event. Discussion was held about gratuities. Cindy explained that there is an 18% gratuity included in the proposal. Kathy Falzone suggested that the gratuity be increased since the Elks Club has been very accommodating to the City over the past few years. The Committee was in agreement and suggested that the gratuity be increased 2% on the final bill. The Committee reviewed the service award employee list. Cindy was of the opinion that service awards being given to regular permanent part time employees as well. Jean Tarbell indicated that she had the employee award list from last year would try to keep the gifts the same. Committee Members agreed to meet again on Tuesday, September 27, 2016 @ 2:00 P.M., second floor conference room. Meeting Adjourned: 2:45 p.m.
