Maio, CMC City Clerk and Deputy City Clerk, Jeanette Williams; Administrative Secretary, Ann Rousseau and Records Management Specialist, Jennifer Maxwell Date: January 1, 2003 Personnel/Educational Matters  Former Information Specialist moved up to Administrative Secretary position – three step increase  City Clerk attained second sustaining membership in Master Municipal Clerk Academy from International Institute of Municipal Clerks in December  Deputy City Clerk attended one week Career Development Institute in October – working toward her Certified Municipal Clerk certification  City Clerk attended two day Career Development Institute in October – working toward her Master Municipal Clerk certification  Administrative Secretary attended New Horizons session – Front Page II in November  Records Management Specialist attended Florida Records Management Association one day mid-year conference in November  Assisted Recreation Department with Halloween Parade preparation  Assisted Human Resources with Student Government Day by preparing goody bags and Deputy Clerk created a student workbook Cemetery Files  Cemetery as-built survey completed – 5 copies received and one map in bitmap format for use with Pontem software Records Management Program  Municipal Code Corporation Laserfiche Digital Imaging software installed and training received  Records Management Specialist completed training and will begin importing all previously scanned images into Laserfiche and MIS will begin installation of Laserfiche software on other departments’ computers for viewing capabilities  Submitted records management compliance report to Department of State, Division of Archives and Records Management in November  19 boxes (16.4 cubic ft.) of documents destroyed having reached retention  Started new color coding filing system for bids/purchases, agreements, grants, projects Election Matters  3/11/03 candidate packets prepared - two candidates pre-qualified - election proclamation read and election resolution adopted on December 11, 2002 – Supervisor of Elections authorized to administer election Channel 25 Powerpoint Presentation/Meeting Broadcasts and City Website  MIS Department took over responsibility for new web page design and Channel 25 administration at the beginning of this fiscal year – we will continue to work with them on Power Point notices  Met with MIS Assistant to review our proposed web pages
